Essential Requirements
The successful Hub Administrator will have:
. Relevant qualification or equivalent to Diploma/Degree/NVQ 3 or equivalent work level experience
. Experience of administration within a team
. Lived, worked or volunteering experience of supporting women, men and children who have been subject to domestic violence and abuse
. Ability to work flexible hours including evenings, weekends
. Ability to work across Somerset and travel for training and meeting purposes
. Willingness to travel occasionally for meetings and training
. Strong IT skills, including the use of Microsoft packages

The Role
The role of Hub Administrator is to work closely with the Hub and SIDAS teams. You will provide a full clerical, administrative and data collection service to the Hub and SIDAS teams. You will be the first point of contact for clients, professionals and others and will respond to referrals and enquiries about SIDAS. You will be responsible for collecting and collating data and uploading accurately to the online case management system and collating data for reports. You will work with others to ensure the Hub rota is covered.
Some of the main responsibilities for the Hub Administrator will include, but are not limited to, the following:
. I am responsible for ensuring the work flow of the Hub is effective
. I allocate assessments to colleagues
. I am responsible for the initial update and case closure on the case management systems and ensuring that all support workers update the system correctly whilst clients are open to the service
. I assist others with ensuring swift throughput and turnaround in accommodation-based services, carrying out initial assessments for clients coming to refuge
. I work with the team to ensure we have the correct information about voids and vacancies for all accommodations, updating with the Accommodation Manager on a weekly basis
. I work with the team to ensure that Routes to Support is updated on a daily basis
. I work calmly in crisis, under pressure, prioritising my workload to best meet the needs of the service.
. I use my initiative to resolve routine queries often lone working
. I respond to customer needs for information
. I keep track of, and update information and attendance registers for groups and counselling, making appointments, keeping clients informed and updating the case management system
. I process all inward and outward referrals
. I create effective administrative systems to support the Hub and SIDAS teams
. I manage office/service stationery, service equipment supplies, donations, gifts, invoices and petty cash with the Managers
. I organise appointments and meetings, booking rooms and venues, ensuring attendees are informed for all training and meetings
. I take responsibility for and contribute to ensuring health and safety in the workplace
. I report any concerns I have relating to the safety of adults or children to my manager immediately
. I work with my team to deliver a professional and excellent service at all times
. I work with my team to deliver and ensure the help line and on-call is covered at all times
